How Schoolee works

Simple, safe, and built for real parents at real schools.

The short version

Your school sends you PDF newsletters. You forward them to Schoolee. We pull out the dates and put them in a calendar just for school stuff. You stop missing things.

The three steps

Your school emails reach Schoolee

Either you set up a one-time forwarding rule in your email app (takes 2 minutes — we show you how), or your school adds us to their parent mailing list so every email comes through automatically. No extra effort for you on day to day.

We read the PDF and pull out the dates

When a PDF newsletter arrives, Schoolee reads it and finds the things that matter: term dates, INSET days, non-uniform days, trip deadlines, parents' evenings. Your inbox stays untouched — we only see what you forward.

The dates show up in your calendar

A new calendar called Schoolee appears in your Google Calendar, full of your school's events. It sits alongside your other calendars, toggle-able, colour-coded. You can also subscribe with any other calendar app (Apple Calendar, Outlook, etc.) via a private link.

Safeguarding is built in

This is the part we took most seriously. We're handling information about children.

Two levels of access. When you sign up, you start at a basic level where you can see titles and dates of events (e.g. "Year 3 school trip — 12 May"). The location of that trip — the venue address, the coach pickup point — is hidden until a school admin at your child's school confirms you're a real parent. Until then, nobody at the school can use Schoolee to find out where children are going to be.

Schools control who can join. Every school on Schoolee gets to decide how new parents sign up: by entering a code the school gave them, or by accepting a direct invite from the school office. At any time, a school can tighten things up (pause new sign-ups, require admin approval for everyone) if there's a concern.

No child data from the emails. When we read a newsletter, we never store child names, class lists, or anything that would identify a specific child — the reader is explicitly told to skip over anything like that, and we default to stripping details when we're unsure. The only child detail we hold is the first name and class you enter yourself, so we know which year's and class's notices apply to your child.

How the reading is done

An AI model reads the PDFs you forward and picks out the dates. Here's what we instruct it to do:

Our AI provider contractually does not train on the data we send through their API. We send the PDF content only for the few seconds it takes to extract the dates, and we don't keep it afterwards. (Our full list of processors is in the privacy policy.)
